Terms of Engagement

This page explains how our service works, what families can expect, and the terms that apply when booking an assessment with The Kalamitia Clinic Ltd.

 

1. Scope of Service

We provide assessment‑only child and adolescent mental health services during Phase 1. This includes:

  • ADHD assessments

  • Autism assessments

  • Generic mental health assessments

Our assessments follow relevant NICE guidance and include clinical formulation, diagnostic opinion (where appropriate), and clear recommendations. We may provide onward signposting, referral suggestions, or guidance for schools and GPs.

We do not provide:

  • Prescribing or medication initiation

  • Physical health monitoring

  • Crisis or emergency mental health support

  • Out‑of‑hours support

  • Ongoing treatment or therapy

If you need urgent help, please contact 999, NHS 111, or your local NHS crisis team.

 

2. Fees & Cancellations

  • Fees are payable at the time of booking and cover clinical time, expertise, and administrative work.

  • Cancellations with less than 48 hours’ notice are charged at 50% of the fee.

  • No‑shows are charged at the full fee.

  • Rescheduling within 48 hours is treated as a cancellation.

  • Refunds cannot be provided once an assessment has been completed.

  • If technical issues occur during a remote appointment (e.g., connection failure), we will reschedule without charge.

 

3. Consent

  • Parents/carers must confirm parental responsibility.

  • Young people may give their own consent if they are Gillick competent.

  • Consent can be withdrawn at any time, except where legal or safeguarding duties apply.

 

4. Confidentiality

We keep all information confidential and secure. We may share information when:

  • There is a risk of harm

  • Safeguarding concerns arise

  • We are required to share information by law

  • Emergency services need information to protect life

We share information lawfully, proportionately, and on a need‑to‑know basis. We follow national and local safeguarding procedures. Where possible, we will discuss this with you before sharing information.

 

5. Communication With Your GP

We normally send a summary report to your GP after the assessment. If a Gillick‑competent young person refuses consent and there are no safeguarding concerns, we will respect their decision.

 

6. Data Protection

We follow UK GDPR and the Data Protection Act 2018. You can read our full Privacy Notice for detailed information about how we use and protect your data.

 

7. Complaints

If you are unhappy with any part of the service, you can make a complaint. We will:

  • Acknowledge your concern within 3 working days

  • Provide a full response within 20–28 days

We follow a fair, transparent, and evidence‑based complaints process, and raising a complaint will not affect your access to care.
